To comply with GMC standards as outlined in the document Outcomes For Graduates, hereafter known as ‘GMC standards’, your student record, information pertinent to your educational achievements and to your fitness to practise, including information relating to your health and/or conduct, will be shared by the University of Manchester with Programme academic and administrative staff, where necessary, Undergraduate Teams at the Clinical Education Campuses in the NHS Trusts, placements, training providers, HEE Foundation Programme, employers, UKFPO, regulatory organisations such as the GMC and other medical schools. Please also note that data from these records and from assessment outcomes will also be used to enhance the academic support we provide for students.
The University’s Privacy Notice for Registered Students (which is accessible via this link: www.regulations.manchester.ac.uk/data-collection-notice/) includes further information about how the University may use and process your personal data, including the legal basis and conditions which may be relevant to such processing (see section 6 of the Privacy Notice). The University will only disclose special category data (such as data relating to your health) to a third party organisation where one of the additional conditions are satisfied (see section 9 of the Privacy Notice), including where processing is necessary for reasons of substantial public interest.
There are instances of transfer of data from this Programme, which is either of assistance to the general student body, or of necessity during the course of the MBChB programme. Such instances would constitute:
- Provision of a list of student names and transfer of information to UKFPO and GMC.
- Provision of a list of student names to the Student Representation team.
- Provision of a list of student names to Medsoc and to the Students’ Union which facilitates the Medsoc election.
- Provision of a list of Foundation Year, GEM Year and Year 1 student names to the Student Coordinators for the Peer Mentoring Scheme.
- Provision of a list of Year 3 Student names to the Student Coordinators for the Peer Mentoring Scheme.
- Provision of progress updates for sponsors e.g. RAF, overseas governments and sponsors, LEAs.
- Provision of student university email addresses for the purpose of releasing educational material from Capsule; note that this data will not be used for any other purpose by Capsule.
- The following statement applies to students who have been excluded at any point from the programme as a direct result of fitness to practise proceedings. In the interests of patient and public safety, and to prevent fraudulent applications to courses which lead to entry to a registered profession in the UK, we will share certain information provided about your fitness to practise procedure, together with the outcomes letter itself, with the Medical Schools Council. A copy of the decision against you will be stored by the Medical Schools Council on a central database which is accessible only to other Schools (further details can be found in the privacy policy). This database is used only for proper fitness to practise purposes to protect patients and the public, and to prevent fraudulent applications. The database involves the collection and processing of certain personal data about you and for further information about that and your rights in connection to this processing, please find enclosed a copy of the Medical Schools Council’s privacy policy relating to the excluded students database.
Note: for the purposes of training, organisations such as approved District General Hospitals, GP practices, Teaching Hospitals etc. operate on behalf of the University of Manchester and as such, are entitled to copies of relevant student records. No information regarding a student will be divulged by telephone and no details regarding contact address etc. will be forwarded to parties other than those listed above without the consent of the student.
